Travel Max Guide – Terms and Conditions

Introduction:

These terms and conditions govern the relationship between Travel Max Guide (TMG), a local tour operator based in Kathmandu, Nepal, and its clients. Please read these terms carefully before entering into any legal agreement with TMG. By participating in our services, you agree to adhere to these terms and conditions, which are designed to create a transparent and mutually beneficial relationship.

I. Nepal Booking & Payments

  1. Booking Process: To initiate a booking, clients must complete a booking form in full and submit it via email or through our official website. Additionally, a copy of a valid passport is required. TMG will confirm the booking and guide clients through subsequent steps.
  2. Deposit Requirement: A 30% deposit of the total trip cost is necessary, payable through wire transfer, WeTravel, or our official website. For detailed payment procedures, refer to our terms and conditions. Any inquiries should be addressed to TMG within 24 hours. The remaining balance must be settled at least TWO WEEKS prior to the trip’s commencement.
  3. Payment Options: TMG accepts MasterCard, VISA, American Express, and PayPal. A 4% service charge is applied by the bank for credit card transactions.
  4. Last-Minute Booking: TMG acknowledges last-minute bookings with full payment, ensuring accessibility for clients in unforeseen circumstances.

II. Cancellation & Booking Changes – Nepal

  1. Cancellation Policy: Clients wishing to cancel must provide written notice at least 40 days before the intended cancellation date. Cancellation becomes effective upon receipt of the written request, with a non-refundable 30% deposit.
  2. Passenger Responsibilities: Clients voluntarily leaving the trip or engaging in unlawful activities forfeit their right to refunds.
  3. Trip Changes: Written requests for trip changes are subject to availability.
  4. Travel Postponement: Clients unable to travel due to extenuating circumstances, such as injury, illness, or death, may postpone the trip or transfer their reservation to another person. Submission of necessary documents and a fee of US Dollar 90 per person is required, at least two weeks before the scheduled departure date.
  5. Credit for Future Tours: Clients can request a credit for future trips in case of unexpected plans. Written notification must be provided 14 days in advance. The credit is valid for one year with no cost changes; after that, an additional 7% will be added each year.
  6. Respect for Culture: TMG emphasizes the importance of respecting local religion, tradition, and culture.

III. Passport & Visas – Nepal

All clients must possess a valid passport with a minimum of 6 months’ validity. Nepalese visas can be obtained from the Nepalese Consulate or upon arrival at Kathmandu’s airport.

IV. Cancellation and Refund Policy

  • Up to 40 days before departure: 80% refund of the cost or deposit.
  • Up to 30 days before departure: 60% refund of the cost or deposit.
  • Up to 15 days before departure: 30% refund of the cost or deposit.
  • After 15 days, the deposit becomes non-refundable.

V. Travel Insurance and Medical Evacuation

Clients are strongly advised to obtain comprehensive travel insurance with provisions for personal injury, illness, accidents, death, medical expenses, repatriation, helicopter rescue, loss of belongings, and ambulance services. Ensure coverage for Nepal, Bhutan, and Tibet, and verify additional provisions with your insurance provider.

VI. Bhutan Bookings and Payments

  1. Booking Confirmation: Complete the booking form at least 25 days before your trip and provide a 75% advanced payment along with a copy of your valid passport.
  2. Payment Options: TMG accepts MasterCard, VISA, American Express, and bank transfers with a 4% service charge.
  3. Remaining Balance: Settlement of the outstanding balance is required at least 10 days before departure to prevent trip cancellation.
  4. Last-Minute Booking: TMG accommodates last-minute bookings with full payment.

VII. Bhutan Cancellation & Booking Changes

Cancellation Policy: Notify TMG in writing at least 15 days in advance to cancel a Bhutan trip. A 25% deduction applies to the advanced payment upon cancellation.

Passenger Responsibilities: Departures or unlawful activities during the journey result in no refunds.

VIII. Bhutan Passport & Visas

Clients unable to obtain a Bhutanese visa should send passport details to TMG at least 45 days before the trip’s scheduled date.

IX. Tibet Bookings & Payments

  1. Booking Confirmation: Complete the booking form at least 25 days before your trip and provide a 40% advanced payment along with a copy of your valid passport.
  2. Payment Options: TMG accepts MasterCard, VISA, American Express, and bank transfers with a 4% service charge.
  3. Remaining Balance: Settlement of the outstanding balance is required at least 10 days before departure to prevent trip cancellation.
  4. Last-Minute Booking: TMG accommodates last-minute bookings with full payment.

X. Tibet Cancellation & Booking Changes

  1. Cancellation Policy: Notify TMG in writing at least 15 days in advance to cancel a Tibet trip. A 50% deduction applies to the advanced payment upon cancellation.
  2. Passenger Responsibilities: Departures or unlawful activities during the journey result in no refunds.
  3. Trip Changes: Written requests for trip changes are subject to availability.
  4. Travel Postponement: Inability to travel due to extenuating circumstances allows clients to postpone or transfer reservations with a fee of US Dollar 90 per person, at least two weeks before departure.

XI. Tibet Passport & Visas

Clients traveling to Tibet must possess a valid passport with at least 6 months’ validity. Those unable to obtain a Tibet visa should send passport details to TMG at least 20 days before the trip’s scheduled date.

XII. Health & Fitness

Clients must maintain acceptable physical fitness for tours and treks. Consult a physician before booking and carry extra prescription medication for remote areas with limited medical access.

XIII. Children

Clients under the age of sixteen must be accompanied by a legal guardian.

XIV. Publicity

Clients grant TMG permission to use images and videos taken during trips for promotional purposes without compensation.

XV. Changes to Your Holiday and Pricing

Unforeseeable events may affect travel plans. TMG may offer alternative trips in such cases but does not guarantee refunds. TMG assumes no responsibility for employment loss due to travel disruptions. Prices may change due to external factors; TMG reserves the right to implement these changes without notice.
